1. Plan & assign ownership

  1. Set timeline: Finalize audit date, milestones, and document deadlines at least 4–6 weeks prior.
  2. Assign roles: Designate an Audit Lead, document owner(s), and a single liaison for auditor communications.

2. Review past findings

  • Collect prior audit reports and CAPAs.
  • Close or document progress on previous nonconformities; prepare evidence of corrective actions.

3. Organize documentation

  • Central repository: Put all evidence (policies, SOPs, logs, change records, training, contracts) in one accessible location.
  • Index & map: Create a short index mapping each audit requirement to where evidence lives.
  • Version control: Ensure all documents show revision history and approvals.

4. Verify key controls & records

  • Sample recent records (last 6–12 months) for completeness and accuracy.
  • Reconcile data: Match system reports to source documents (ledgers, logs, tickets).
  • Evidence trail: Maintain timestamps, signatures, and reviewer notes.

5. Run internal dry-runs

  • Internal audit or mock interview: Simulate auditor questions with process owners.
  • Walkthroughs: Physically or virtually walk through critical processes to confirm practices match documented procedures.

6. Prepare staff

  • Role briefs: Give staff 1‑page summaries of their responsibilities and likely auditor questions.
  • Training refresh: Confirm required training is up-to-date and records are available.
  • Communication plan: Tell staff who handles questions and escalation during the audit.

7. Clean up operational areas

  • Facility readiness: Tidy workspaces, label equipment, ensure safety/compliance signage is visible.
  • Access & credentials: Ensure auditors can access needed systems, with read-only accounts where required.

8. Manage auditor logistics

  • Opening pack: Provide an agenda, audit scope, contact list, and the index of evidence.
  • Schedule clarity: Reserve rooms, interview times, and necessary staff availability.
  • Single point of contact: Funnel all requests through the liaison to avoid confusion.

9. Track requests and responses

  • Request tracker: Log each auditor request, assigned owner, due date, and status.
